The Royal Danish Embassy in Chisinau is seeking to recruit a dynamic team player to the position as administrative assistant at the Embassy.

In your daily work, you will be part of the Administration Team, which beside yourself consists of three local staff members, a Head of Administration, a Personal Assistant to the Ambassador and a Security Officer/Driver.

As an administrative assistant, main tasks and responsibilities include but are not limited to:

  • Setting up meeting with local authorities, media, businesses, other embassies, international organizations, civil society and more. Administer driving schedule.
  • Managing protocol issues, official letters, and assisting in the preparation and execution of incoming and outgoing bilateral visits (political, commercial, cultural), including providing support for delegations’ programs
  • Assisting and advising on Public Diplomacy issues, incl. regarding communication and local media and the Embassy’s social media communication.
  • Assist in addressing ad hoc requests from the public and official authorities.
  • Receive visitors arriving at the embassy.
  • Organisation and administration related to business trips.
  • Translation of documents between RO/RU and English.
  • Consular tasks and assistance to Danish nationals and Danish authorities.
  • Build and maintain a network among administrative staff working for partners.
  • Attend meetings on behalf of the embassy as directed by the Attachés or by management
  • Contribute to a cooperative work place by providing assistance to colleagues, including other teams when needed and within competencies and capacities.

Other tasks of the Administrative Assistant are to take part in work conducted by the Embassy’s Administrative Team, including functioning as back-up to the team members.

Requirements:

  • Minimum of 2 years relevant professional experience
  • Language proficiency in English, Romanian and Russian
  • Relevant education

  • Full time employment on a local contract based on the relevant legally binding labour market rules of the Republic of Moldova. Your working hours will be 40 hours per week (Monday-Friday work week), including a 30 minutes daily lunch break
